The Missed Call Problem No Car Rental Operator Talks About — But Should

Every car rental operator knows the feeling. A customer calls after hours, gets voicemail, and books somewhere else. Nobody writes it down. Nobody tracks it. It just becomes a lost booking that never shows up in any report.

The Missed Call Problem No Car Rental Operator Talks About — But Should

The Car Rental Industry Is Growing — And So Is Customer Demand

The global car rental market was valued at nearly $150 billion in 2024 and is projected to reach $278 billion by 2030 — a 10.5% compound annual growth rate. North America alone accounts for over 36% of that market. In 2023, 48 million Americans rented a vehicle, a 19.4% increase from the prior year, with the average person renting twice annually.

That's a lot of calls. A lot of questions. A lot of bookings waiting to happen.

And yet most independent and regional operators are still running on the same staffing model they used a decade ago — a front desk team that clocks in at 8am, clocks out at 6pm, and lets the phone ring the rest of the time.

What Happens When You Miss a Call?

Customers don't wait. When a caller can't reach someone, they don't leave a voicemail and sit patiently by the phone. They open a browser tab and find the next operator. The car rental space is competitive by design — Enterprise, Avis, and Hertz have 24/7 reservation lines and apps that convert in seconds. Independent operators competing against that infrastructure with a part-time front desk are fighting with one hand tied behind their back.

The irony is that the calls coming in after hours are often the highest-intent customers. They're calling because they actually want to book — not to browse, not to compare. They've already done the research. They just need someone to pick up.

Staffing the Gap Is Not the Answer

The obvious fix seems like it should be: hire more people, extend hours, cover the phones around the clock. In practice, that's not viable for most operators.

Staffing costs for car rental locations have risen sharply over the past three years. The industry has faced persistent challenges finding and retaining counter staff. And even with extended hours, you still get sick days, lunch breaks, and the inevitable moment where two calls come in at the same time and one goes to voicemail.

The math doesn't work. You can't staff your way to 24/7 coverage without it destroying your margin — especially when the industry average profit margin sits at just 8.3% of revenue.

A Different Approach: Let AI Answer the Phone

What's changed in the last two years is that AI voice technology has reached the point where it can handle a real conversation — not just read a script, but actually understand what a customer is asking, check live availability in your rental system, quote prices, and confirm a booking. All of it, over a regular phone call, at any hour of the day or night.

For a car rental operator, that means:

  • A customer who calls at 10pm on a Sunday gets a real answer, not a voicemail
  • A customer asking "do you have a full-size SUV available Friday morning in Anchorage?" gets an accurate response based on live inventory, not a generic "we'll call you back"
  • A booking gets created in your system automatically, without a staff member touching it

The question isn't whether this technology works anymore. It works. The question is how quickly operators realize that every unanswered call is a booking they're handing to a competitor.

The Operators Who Move First Will Win

The car rental industry is not known for fast technology adoption. That's an opportunity, not a criticism. The operators who implement AI-powered phone handling in the next 12 months will have a structural advantage that takes their competitors years to close — every call answered, every booking captured, zero after-hours dead zones.

The missed call problem isn't going away. But it is optional.
